How to use CRM boards

How to add and set up a CRM board 
You can set up different stages (columns) on your CRM board to represent the steps in a particular process, such as a sales pipeline. Stages can automatically receive opportunities when someone completes a tour request, makes a booking, signs up or ends their contract for one of your plans. This helps automate your sales process.
 
Each stage can also trigger a task list or send a message macro when an opportunity is added. This makes it easier to assign a set of tasks to different people in your team when someone is added to one of the stages on a board or to notify that person or a member of team when this happens.
 
Typically, you will have different boards, each dedicated to one of your processes. Keep in mind that boards can help you track progress through many different processes, not just sales. For example, they can also be used to organise your events, on-boarding of new members, or marketing activities. For an example of how typical boards may look like please see below. In this view, you can see each board and each column or step in the board as well as some basic information about opportunities in each of the steps.

Clicking on each board opens a more detailed view of all steps or columns within the board where you can see some more details: current number of opportunities, their total value and whether they have any due items in them.

To add a CRM board

  1. If the side menu is not visible, click .

  2. In the side menu, click CRM, then click CRM Boards.

  3. Click Add CRM board. A new page is displayed.

  4. Type a name and select a location (see the table below for a description of each field option).

  5. Click Save.

  6. On the next page displayed, click Add new stage to add a stage.

  7. In the Name box, type a name for the stage.

  8. In the CRM board drop-down box, select your new board.

  9. If required, select from one of the New opportunities options (see the table below for a description of each field option).

  10. If required, select an automated action to be performed at the stage (see the table below for a description of each field option).

  11. Click Save.

  12. If required, repeat the procedure from step 6 to add more stages (columns).

To set up a CRM board

    1. If the side menu is not visible, click .

    2. In the side menu, click CRM, then click CRM Boards.

    3. On the board you want to configure, click Edit board.

    4. Do any of the following:

      • Edit the Name or Location.

      • To alter the relative position of a stage, click next to the stage name and drag the stage up or down the list.

      • To edit a stage, click the stage name.

      • To delete a stage, click, then click Delete.

      • To add a stage, click Add new stage.

      5. Click Save changes.

If you manage more than one space from your Nexudus account, select from the drop-down list the location of the space that is going to use the CRM board

New opportunities

You can select one or more of the following to automate the stage:

  • Add anyone completing a tour request form to this stage

  • Add anyone confirming a tour to this stage

  • Add anyone completing a tour to this stage

  • Add anyone completing a sign-up form to this stage

  • Add anyone completing a booking to this stage

  • Add anyone cancelling their contract to this stage

  • Add anyone sent a proposal to this stage

  • Add anyone accepting a proposal to this stage

  • Add anyone e-signing a document to this stage

  • Add anyone registering for an event to this stage

  • Add anyone sending a contact message to this stage

Actions

You can select one or more of these actions to automate the stage:

  • Select an email template for messages sent to the opportunity

  • Select a task list for opportunities added to this stage

  • Activate the account of opportunities added to this stage

  • Deactivate the account of opportunities added to this stage

  • Confirm tour of opportunities added to this stage
